Client Agreement
Effective April 22, 2026
BEYOND TRAVEL CLIENT AGREEMENT
This Client Agreement ("Agreement") is entered into by and between Devone Calli d/b/a Beyond Travel ("Beyond Travel," "we," "us," or "our") and the undersigned client, lead traveler, and any traveler included in the reservation ("Client," "Traveler," "you," or "your").
By signing this Agreement, checking an acceptance box, approving an invoice, submitting a booking request, authorizing Beyond Travel to proceed, or using any travel services arranged by Beyond Travel, you acknowledge that you have read, understood, and agreed to this Agreement.
1. Our Relationship
Beyond Travel provides travel advisory, trip design, planning, research, booking support, hosted trip coordination, and related travel services. Unless expressly stated otherwise in writing, Beyond Travel is acting as an independent travel advisor arranging travel services offered by third-party suppliers, including airlines, resorts, hotels, cruise lines, tour operators, destination management companies, transfer companies, excursion operators, and travel protection providers.
Beyond Travel is not the owner or operator of those third-party travel services and is not responsible for the acts, omissions, policies, schedule changes, service failures, insolvency, or operational decisions of those suppliers.
2. Scope of Services
Depending on the trip, Beyond Travel may provide some or all of the following services:
destination and resort research
trip consultation and recommendations
quote preparation and proposal design
booking support and reservation coordination
hosted group trip planning and management
rooming coordination
supplier communication
travel document delivery
payment scheduling support
pre-travel communication
limited post-booking service and issue escalation support
Beyond Travel’s services are advisory and administrative in nature unless otherwise specifically stated in writing.
3. Client Responsibilities
You agree to:
provide complete, accurate, and timely information for all travelers
review quotes, invoices, confirmations, itineraries, and travel documents promptly
notify Beyond Travel in writing of any errors or discrepancies within 24 hours of receipt
make payments on time
comply with all supplier rules, destination entry requirements, and applicable laws
communicate respectfully and truthfully throughout the booking and travel process
obtain and maintain all required travel documents, including passports, visas, consents, health documentation, and identification
You understand that delays in providing information, approvals, payments, or documents may affect pricing, availability, and the success of your booking.
4. Booking Process
A trip is not considered booked or confirmed until the required payment has been authorized, accepted, and processed by the applicable supplier or otherwise confirmed in writing.
Quotes are subject to change until booked. Pricing, flight schedules, room categories, taxes, supplier fees, and availability may change without notice before confirmation.
Beyond Travel may rely on your written approval, signed authorization, approved invoice, email, text message, electronic signature, CRM acceptance record, or booking form as authority to proceed with your reservation.
5. Payments and Authorizations
You understand that Beyond Travel often arranges bookings through third-party suppliers and that payment may be processed directly by the supplier rather than by Beyond Travel.
If you provide payment information or authorize Beyond Travel to submit payment on your behalf, you represent that you are the lawful cardholder or authorized user of the payment method provided and that you are authorized to approve the transaction.
All payments are subject to the applicable supplier rules, payment deadlines, and the Beyond Travel Terms & Conditions. Failure to make payment when due may result in cancellation, loss of deposit, repricing, or additional penalties.
6. Non-Refundable Work and Fees
You understand that Beyond Travel’s planning, research, curation, coordination, and administrative work may begin immediately once you engage our services or authorize a booking.
Any planning fee, professional service fee, research fee, consultation fee, administrative fee, hosted trip fee, cancellation administration fee, or change fee charged by Beyond Travel is earned when the related service is performed and is non-refundable except where prohibited by law or expressly stated otherwise in writing.
Deposits and travel components may also be non-refundable under supplier rules.
7. Supplier Control and Third-Party Terms
All travel arrangements are subject to the terms, conditions, fare rules, cancellation rules, refund rules, documentation requirements, and liability limitations of the applicable supplier or suppliers.
You agree that supplier terms are incorporated into your booking by reference. If a supplier imposes stricter rules than Beyond Travel, the supplier’s rules will control for that travel component.
Beyond Travel is not responsible for any supplier decision relating to cancellations, overbookings, substitutions, schedule changes, property changes, mechanical issues, staffing issues, closures, safety issues, or service failures.
8. Cancellations and Changes
All cancellations and change requests must be submitted in writing by the lead traveler from the email address associated with the booking unless Beyond Travel agrees otherwise in writing.
Cancellation requests are not effective until acknowledged by Beyond Travel in writing.
Changes and cancellations may result in:
supplier penalties
non-refundable losses
repricing based on current rates
occupancy adjustments
Beyond Travel administrative or change fees
loss of promotional pricing or inventory
If one traveler cancels from a shared reservation, the remaining travelers may be responsible for repricing, occupancy changes, or single-room costs.
9. Travel Protection
Travel insurance or travel protection is strongly recommended for all travelers.
If you decline travel protection, you accept full financial responsibility for losses related to cancellation, interruption, delay, illness, injury, weather, missed connections, supplier default, emergencies, or other unforeseen events.
Beyond Travel is not an insurer and does not guarantee that any claim will be covered.
10. Travel Documents and Entry Requirements
You are solely responsible for obtaining and carrying all required travel documents and for meeting all identification, passport, visa, vaccination, testing, consent, and entry requirements for each traveler and destination.
Names on reservations must match the traveler’s identification exactly. Failure to provide accurate legal names or required documents may result in denial of boarding, denial of entry, cancellation, or additional supplier charges, for which Beyond Travel is not responsible.
11. Hosted Group Trips
For hosted or escorted trips, Beyond Travel may provide group coordination, trip hosting, communication support, and related services. Hosted support does not make Beyond Travel the operator of airlines, resorts, excursions, or other third-party supplier services.
You agree to conduct yourself respectfully, lawfully, and safely during any Beyond Travel-hosted event or trip. Beyond Travel reserves the right to refuse service, remove a traveler from a group experience, or terminate participation without refund if a traveler engages in abusive, threatening, discriminatory, unlawful, disruptive, unsafe, or inappropriate conduct.
12. Roommates, Invited Travelers, and Lead Traveler Responsibility
If you are the lead traveler, you represent that you are authorized to act for all travelers on the booking and to accept this Agreement on their behalf.
You also understand that roommate disputes, invited guest cancellations, payment failures, personal disagreements, or withdrawal by another traveler do not eliminate valid payment obligations or cancellation penalties.
If a booking depends on shared occupancy, all resulting repricing, cancellation losses, or related costs remain the responsibility of the travelers on that reservation.
13. Communication and Records
You consent to receive communications from Beyond Travel by email, text message, CRM portal, invoice system, and other reasonable electronic means in connection with your inquiry, booking, payments, travel documents, and trip servicing.
You agree that electronic records, including signed forms, checkbox acceptances, CRM logs, invoice approvals, email communications, text messages, booking records, confirmations, and payment authorizations, may be used as evidence of your instructions, approvals, assent, and obligations.
New Jersey recognizes electronic transaction records and signatures in commercial dealings, subject to applicable law, which is one reason your acceptance process should be clear and documented.
14. Incorporation of Other Documents
This Agreement incorporates the following documents by reference, each of which forms part of the binding agreement between you and Beyond Travel:

Beyond Travel Credit Card Authorization & Chargeback Acknowledgment
any applicable supplier terms and conditions
any trip-specific terms, proposals, invoices, rooming terms, or hosted-trip rules provided in writing
If there is a conflict between this Agreement and a stricter supplier rule affecting a specific travel component, the supplier rule will control for that component. If there is a conflict between this Agreement and the Credit Card Authorization & Chargeback Acknowledgment regarding payment authorization or payment disputes, the Credit Card Authorization & Chargeback Acknowledgment will control for those issues.
15. Complaints and Opportunity to Cure
If you believe a service is materially not as described, you agree to notify both the supplier and Beyond Travel promptly while travel is in progress so that a reasonable opportunity to investigate and address the issue may be provided.
Any post-travel complaint must be submitted in writing within 10 days after the end of travel and must include a detailed description of the issue and any supporting documentation.
16. Chargebacks and Payment Disputes
You acknowledge that payment disputes and chargebacks are governed in more detail by the Beyond Travel Credit Card Authorization & Chargeback Acknowledgment.
You agree that you will not initiate a chargeback or payment dispute for a properly authorized charge, a disclosed non-refundable amount, an earned service fee, or a cancellation penalty properly applied under your booking terms.
You agree to first provide written notice to Beyond Travel and a reasonable opportunity to investigate before initiating a chargeback, except in cases of true unauthorized use or actual billing error.
17. Limitation of Liability
To the fullest extent permitted by law, Beyond Travel shall not be liable for losses, damages, delays, inconvenience, loss of enjoyment, mental distress, missed connections, schedule changes, supplier defaults, weather-related disruptions, government actions, or other events outside Beyond Travel’s direct control.
To the fullest extent permitted by law, any liability of Beyond Travel arising from its own direct services shall be limited to the amount of fees actually paid directly to Beyond Travel for its own services relating to the specific booking at issue, excluding amounts paid to third-party suppliers.
18. Mandatory Arbitration and Waiver of Court Proceedings
Please read this section carefully. It affects your legal rights.
Any dispute, claim, or controversy arising out of or relating to this Agreement, your relationship with Beyond Travel, any booking, any payment authorization, any chargeback dispute, any cancellation or refund issue, any alleged misrepresentation, or any services arranged or provided by Beyond Travel that cannot be resolved informally shall be resolved exclusively by binding individual arbitration, and not in court, except as otherwise expressly stated in this section.
This arbitration agreement is governed by the Federal Arbitration Act, which generally makes written arbitration agreements valid, irrevocable, and enforceable, subject to ordinary contract defenses.
The arbitration shall be administered by a nationally recognized arbitration provider selected by Beyond Travel, provided the provider and process comply with applicable law. If that provider is unavailable or inappropriate under applicable law, arbitration shall be administered by another nationally recognized provider or by an arbitrator appointed by a court of competent jurisdiction consistent with this Agreement.
The arbitration shall proceed in Essex County, New Jersey, unless applicable law requires a different consumer-compliant format, the administrator’s rules require a remote proceeding, or the parties agree otherwise in writing.
Either party may seek temporary injunctive relief in a court of competent jurisdiction to protect rights pending arbitration. Either party may also bring an individual claim in small claims court if permitted by applicable law and if the matter remains strictly individual.
You and Beyond Travel waive the right to a jury trial. You and Beyond Travel also waive any right to participate in a class action, collective action, representative action, coordinated action, consolidated action, or class arbitration, except to the extent such waiver is prohibited by applicable law.
New Jersey courts have emphasized that consumer-facing arbitration language must make it reasonably clear that arbitration is replacing a court proceeding, so this section is intended to do that plainly.
19. Governing Law
Except to the extent preempted by federal law, this Agreement shall be governed by the laws of the State of New Jersey, without regard to conflict-of-law principles.
20. Severability
If any part of this Agreement is found invalid or unenforceable, the remaining provisions shall remain in full force and effect to the fullest extent permitted by law.
21. Entire Agreement
This Agreement, together with the Beyond Travel Terms & Conditions, the Credit Card Authorization & Chargeback Acknowledgment, the applicable supplier terms, and any written trip-specific documents issued by Beyond Travel, constitutes the full agreement between the parties concerning the booking relationship.
