Credit Card Authorization & Chargeback Acknowledgment

This Credit Card Authorization & Chargeback Acknowledgment ("Authorization") is entered into by and between Devone Calli d/b/a Beyond Travel ("Beyond Travel") and the undersigned cardholder and traveler ("Traveler," "Cardholder," "I," "me," or "my").

By signing below, checking an approval box, approving an invoice, replying in writing with authorization, or otherwise providing payment information for a travel booking, I acknowledge and agree to the following:

1. Authorization to Charge

I authorize Beyond Travel to use the credit card or debit card I provide for the travel services I approve, including deposits, installment payments, final payments, approved add-ons, travel protection if selected, changes requested by me, and any applicable administrative, planning, professional service, or cancellation fees that have been disclosed and agreed to.

I understand that Beyond Travel often arranges travel services through third-party suppliers and that my payment may be submitted directly to the applicable supplier, wholesaler, booking platform, or other travel vendor for processing.

2. Cardholder Authority

I represent and warrant that:

  • I am the lawful cardholder or an authorized user of the payment method provided

  • I am at least 18 years old

  • I am authorized to approve this transaction

  • all payment information I provide is accurate and complete

  • if I am paying on behalf of another traveler, I have authority to do so

  • if I am the lead traveler, I have authority to approve charges and accept the applicable travel terms on behalf of all travelers included in the reservation

3. Scope of Authorization

This authorization applies only to the specific booking, payment, or travel transaction approved by me, including:

  • initial deposit

  • installment payments under an approved payment plan

  • final payment

  • approved travel protection

  • approved upgrades, add-ons, or changes

  • repricing caused by room occupancy changes or traveler cancellations

  • applicable Beyond Travel planning, administrative, professional service, hosted trip, change, or cancellation fees, when disclosed and agreed

No recurring or open-ended billing is authorized unless separately agreed to in writing.

4. Non-Refundable Charges

I understand and agree that some or all amounts charged may be non-refundable. Non-refundable amounts may include, without limitation:

  • deposits

  • airfare

  • supplier-imposed non-refundable charges

  • promotional or restricted rates

  • planning fees

  • professional service fees

  • administrative fees

  • change fees

  • cancellation penalties

  • hosted group trip fees

  • other amounts identified in my quote, invoice, booking confirmation, or the Beyond Travel Terms and Conditions

I understand that Beyond Travel's work may begin immediately upon authorization and that planning, research, coordination, curation, and administrative services may be earned when performed and may not be refundable even if I later cancel.

5. Review of Booking Details

I understand that I am responsible for reviewing my quote, invoice, confirmation, itinerary, traveler names, room occupancy, destination, dates, and other booking details promptly upon receipt.

I agree to notify Beyond Travel in writing within 24 hours of receiving my booking documents if I notice any error or discrepancy. If I do not report an issue promptly, I understand that corrections may not be possible or may result in additional charges, cancellation penalties, or loss of the reservation.

6. Acceptance of Terms

I acknowledge that my booking is subject to:

  • the Beyond Travel Terms and Conditions

  • the terms, conditions, rules, and policies of the applicable supplier or suppliers providing the travel services

I understand that supplier terms may be stricter than Beyond Travel's general policies and may control refundability, changes, cancellations, and certain travel components.

7. Records as Proof of Authorization

I agree that the following may be used as evidence that I authorized the transaction and accepted the booking:

  • this signed authorization

  • checkbox or portal acknowledgment

  • CRM acceptance records

  • invoice approval records

  • timestamps

  • billing address records

  • email communications

  • text messages

  • booking notes

  • traveler information submissions

  • booking confirmations

  • itineraries

  • payment receipts

  • supplier confirmation records

  • document delivery records

  • use of any part of the travel booking

I agree that these records may be used by Beyond Travel in responding to a chargeback, bank inquiry, arbitration, collections matter, or legal proceeding.

8. Chargeback Acknowledgment

I understand that chargebacks are intended for truly unauthorized transactions, billing errors, or materially improper charges.

I agree that I will not initiate a chargeback or payment dispute for any charge that I authorized, any non-refundable amount that was disclosed to me, any properly applied cancellation penalty, any earned service fee, or any booking that was confirmed, delivered, or materially provided as agreed.

I further understand that the following are not valid grounds for a chargeback where the transaction was otherwise authorized and properly documented:

  • I changed my mind after authorizing the booking

  • I failed to read the cancellation terms

  • my roommate, guest, or invited traveler later canceled

  • I declined travel insurance or travel protection

  • I did not use all booked services

  • I missed a flight or chose not to travel

  • I forgot that I authorized the charge

  • I did not recognize the supplier or billing descriptor after authorizing the booking through Beyond Travel

  • I am attempting to avoid disclosed cancellation penalties or non-refundable charges

9. Pre-Dispute Notice

Before initiating any chargeback, bank reversal, retrieval request, or payment dispute, I agree to first notify Beyond Travel in writing from the email address associated with my booking, explain the basis of my concern in detail, and provide all supporting documentation.

I agree to give Beyond Travel at least 15 calendar days to investigate and respond before seeking reversal through my card issuer or bank, except where I reasonably believe there has been true unauthorized use of my card or an actual billing error.

10. False, Abusive, or Fraudulent Chargebacks

I understand and agree that if I initiate a chargeback or payment dispute that is determined by Beyond Travel to be false, abusive, bad-faith, or fraudulent, Beyond Travel may, to the fullest extent permitted by law:

  • contest the dispute and provide all relevant supporting records

  • seek recovery of the disputed amount

  • seek recovery of chargeback fees, bank fees, administrative costs, staff time, collection costs, investigative costs, arbitration costs where recoverable, and attorney's fees where recoverable

  • cancel current bookings or future services

  • deny future booking privileges to me and related travelers on the reservation

  • report suspected fraud to suppliers, processors, banks, collection agencies, legal counsel, and law enforcement or other appropriate authorities

  • pursue all available civil remedies

I understand that false claims of unauthorized use may expose me to civil liability and other legal consequences.

11. Use of Travel Services

I agree that if I, or any traveler on my reservation, uses any part of the booking, including flights, hotels, transfers, tours, excursions, hosted events, travel protection, or related services, that use may be treated as strong evidence that the transaction was authorized and that the travel services were delivered.

12. Lead Traveler Responsibility

If I am the lead traveler, I acknowledge that I am responsible for the reservation I authorize, including charges tied to shared rooms, invited travelers, and roommate arrangements made through my booking.

I understand that occupancy changes, roommate withdrawal, or disputes among travelers do not eliminate valid payment obligations, repricing, or cancellation penalties.

13. Electronic Signature and Records

I agree that this Authorization may be executed electronically and that electronic signatures, typed names, checkbox acceptances, CRM records, portal approvals, invoice approvals, and email authorization shall have the same force and effect as an original ink signature.

14. Incorporation into Terms and Conditions

This Authorization is incorporated into and made part of the Beyond Travel Terms and Conditions. Nothing in this Authorization limits Beyond Travel's rights under its Terms and Conditions, applicable supplier terms, or applicable law.
